  2. By making a booking with ShabiqKenya Agency, we will ask for your full names, geographical location, email address and telephone numbers. For clients that are seeking to advertise or market their facilities and services with us, we require the details indicated in our advertising page.

    For clients and customers or guests that choose to make their payments online, we will ask for the necessary payment information as may be required by our online and bank secure online payment providers. We recognize the sensitivity of your credit/debit card information and we therefore do not share or reveal it unrecognised parties in our transactions.

    We also retain the rights to gather background information of the visits that our website visitors make. Such information may include your IP addresses, the types of devices used to access the website, internet browsers used, geographical locations, types of operating systems and such other settings. These items act as important requirements to us so as to improve our services.

  4. Reservations and Bookings: We rely and use the information you provide to us manage your reservations or bookings. Similarly, most if not all accommodation service providers require such information so as to meet certain expectations.

    Administration and Personalization of Contract: We require linking all client advertisements and customer or guest bookings to their specific requirements, preferences and services so as to allow us and them have a user friendly social and business environment. We may also need information that will enable us fully personalize client advertising and marketing. This is arguably the best way to maintain relevance of services.

    Client and Customer/Guest Services: Providing an unmatched and customized client and customer or guest service remains to be our key objective. We are committed to using the information you provide to us to enable us serve you best. However, we may require working in collaboration with third parties to fulfill some of the client and customer or guest needs. That may include, but not limited to transport and communication services.

    Client and Customer/Guest Reviews: We shall use the client and customer or guest reviews and information you provide to us so as to make better our services in future. Certain service providers may also request such reviews and information from us so as to better their services for future guests.

    Advertising and Marketing Activities: There will be need for us use the personal information and booking history sent to us by our clients and customers or guests to send to them newsletters and special offers that may be of relevance to their email addresses, short messages to their phone numbers and push notifications. However, this will depend on the preferences by the clients, customers or guests. We may also ask our clients and customers to take part in market researches and analysis at their consent. There may be times when we shall have to carry out time to time communications. These would be for specific reasons such as; responding to specific needs and requests, finalizing and confirming a booking and consulting on change of prices or any other new events or plans.

    Security and Fraud Prevention: Fraud detection and prevention is our key commitment. This will help us in maintaining our client and customer base and trust. Therefore, we may be required to use your personal information for the detection and prevention of suspicious and other unwanted activities. This will also help us to improve on the way we offer our services.

  5. At what point can ShabiqKenya Agency share your personal data to a third party(ies)?
  6. With Accommodation and Tourist Facilities: We shall always require using guests’ or service seekers’ relevant personal information with the clients or service providers. This is necessary in preparing them for what they expect. This may include full names of the guests, location, dates of travelling, contact details, and booking preferences. However, we shall not reveal service seekers’ payment information to service providers for customers, guests or service seekers that choose to pay through us.

    Third Party Service Providers: ShabiqKenya Agency shall use third party service providers for some parts of our business. These third parties may require certain key information about our clients, customers or guests which we shall have to share your information with them. This is because the tourism and hospitality industry is a very broad industry in Kenya. These may include, but not limited to; advertising and marketing companies, tour operators and travel agencies, outsourced customer care, communication companies, security agencies, payment providers, analytics and consulting companies. However, we assure you that whenever such need arises; these third party providers will be entirely bound by confidentiality agreements. They shall not be at liberty to use such information provided to them for any purposes other than for the specific work or services they shall have been contracted to offer or do for us.

    Competent Authorities: We shall share your personal information with government or investigative authorities where the law shall require us to do so. However, this shall be done entirely on regulation by law. Examples of such instances shall include court orders, subpoenas and orders that may arise from criminal investigations and such other legal processes. Moreover, we may have to disclose client and customer or guest personal data if it is deemed necessary for the prevention, detection or prosecution of criminal activities.

  7. ShabiqKenya Agency and the social media
  8. Social media has proven to be an important platform in promoting and improving our services and those of our clients. There is information that is shared to us by our clients, service seekers and other service providers. Therefore, by accessing our social media platforms, there is information that is shared with the social media providers. Such information may in the end be displayed on your profile and/or shared with your network provider(s).

    We also largely depend on the social media to display advertisements and information about our clients. However, these advertisements and such other key information shall only be displayed on our social media pages.

  9. How does ShabiqKenya Agency use the guest requests and reviews sent to us?
  10. ShabiqKenya Agency receives numerous requests from service providers and service seekers from time to time. Our clients make requests and consultation services on our services.

    Once you as a client or service seeker has purchased an advertising and marketing contract or made a booking and a successful stay with a ShabiqKenya Agency client, we may contact you to ask for your review or feedback regarding us and/or the accommodation facility or client and/or the tourist destination. The review may require you to fill a client, customer or guest review form which we may use to inform future clients and guests of your opinion and for marketing purposes.   11. ShabiqKenya Agency and mobile devices or mobile services
  12. ShabiqKenya Agency recognizes the unmatched speed of change in the mobile devices industry. Therefore, we have a version of our website that is optimized and specifically designed for mobile device platforms. There shall not be any difference in the information we relay or share in our mobile website version and the regular website. However, the mobile website version may use location services so that it is able to tailor the experience to where our users are at a specific time.

    We are continuously working on both versions of the website so as to optimize internet customer experience.

Are there control measures on the amount and form of personal information clients and customers or guests give to ShabiqKenya Agency?

Our clients and customers reserve the right to review the form and amount of personal information they provide to us. Moreover, they (clients and customers) reserve the privilege to request an overview of the personal information that we may be holding about them by sending email to

In an instance that the personal information we hold about a client, customer or guest are incorrect, we shall be at liberty to update the information upon their request. Similarly, if our clients and customers would like us to completely remove their personal information from our website and database; we request them to send email to or via the communication channels provided in our contacts page. However, we warn that there may be need for us to retain certain information for legal and/or administrative purposes. This would include, but not limited to detecting fraudulent criminal acts.

Children and Content

ShabiqKenya Agency, through its reservations or bookings platform aims at customers and guests that are above the age of 18 years. This is specifically due to certain kind of information that we may ask for from them in order to accentuate to the reservation or booking. However, the reservation or booking services can be accessed by children below the pre-stated age (18 years) with the consent of a parent or guardian.

Therefore, we reserve the right to delete or ignore the information we receive from service seekers or clients that are below the age of 18 years. Nonetheless, the content relayed and displayed in our mobile version website and the regular website is monitored and is fit for all persons above the age of 5 years.


Important Points

ShabiqKenya Agency Terms and Conditions, Privacy Policy, and Cancellation Policy govern the relationship between you, the service-seeker or traveler, and us, the agency. You agree to be bound by these conditions; they state, among other things, our cancellation policy and certain limitations of liability.

The terms, privacy policy, and cancellation policy affect your rights to sue, governing law, forum, and jurisdiction; please be sure to carefully read these terms and make sure you understand your rights and obligations and our rights and obligations.

We strongly recommend that service-seekers purchase travel protection or insurance.

What CAN be RefundedI

Some tours may require a minimum number of travelers to operate. The affected traveler(s) will be fully refunded or may choose a similar tour or reservation product as a substitute. Should this occur, it would be under very rare circumstances because we try our best to accommodate and meet the needs of all travelers and service seekers.

Please note that the service substitute chosen by the service-seeker(s) or traveler(s) may be more expensive than the original product or service and therefore may be subject to an additional cost. Communications will be made on the same.

Any additional refunds based on extenuating circumstances will depend on the individual service provider and tour operator.

What CANNOT be Refunded

All hotel and tour schedules are arranged ahead of time. Any person failing to appear on the day of check-in or departure without prior communication will not be refunded.

No refund will be given for any portions of the reservation or tour package unused by the customer(s) or traveler(s) after reservation or tour departure regardless of circumstances. There is no right to a refund for any unused services.

Airfare is completely non-refundable and non-changeable for tours when airfare is included in the final price. However, this will also depend on airline operators.

Hotel extensions and Instant Confirmation Products (admission tickets, receipts, city passes, etc.) cannot be exchanged or refunded once confirmed.

Registration of Reservations, Bookings, and Payments

Reservations are not confirmed until full payment is received by ShabiqKenya Agency, unless otherwise stated.

ShabiqKenya Agency reserves the right to cancel reservations that are not paid in full at any time after a final payment is due, in which case cancellation charges will apply. This includes the right to correct errors, or incorporate an increase or reduction in the event of such occurrences due to currency fluctuations. Please note that our charges include domestic taxation surcharges. Every effort has been made to produce pricing information accurately.

Your purchase does not automatically guarantee a reservation. Your purchase will be confirmed via email or phone call within one to two business days.

The cancellation fee policy will take effect once you submit your reservation charges. If your purchase cannot be confirmed for any reason whatsoever, we will fully refund your purchase without any additional charges.

Paid reservations will be confirmed within one to two days.

Hotels, Lodges and Camps and Cancellation Policy

Payment Terms

Hotel/ Resorts/ Lodges Reservation Bookings are confirmed upon receipt of a 50% deposit of the quoted reservation cost. Balance payable in full 3 days (72 hours) prior to arrival or check-in date. Full Payment is required if less than 3 days.

Payment by Credit Cards

We accept payment by credit card (Visa or Mastercard) through our secure online payment service providers. Once your booking is confirmed and our sales consultant has emailed you the invoice, you will then receive an email from ShabiqKenya Agency which will have a link that directs you to our secure online payment system, where you can enter your details and process your payment.

Your credit card company may add their own handling fee for processing a payment outside your home country. If the final balance is paid by credit card then a transaction fee of 5% is added to the amount of the balance to cover the credit card processing charges. Payment can also be made by debit card in the same way as credit cards but the banks in Kenya apply the same transaction fee for debit cards as for credit cards, so a fee of 5% is also added for payment of the final balance by debit card.

Mobile Money Transfer

We also accept payment by Mobile Money Transfer (Safaricom Lipa na Mpesa and Airtel Money). Once we receive your payment via mobile money, an invoice will be produced and sent to you. Please inform us immediately you remit your payment for convenience purposes.

Our Cancellation Policy

The Cancellation Policies listed below apply to all reservations unless the service booked for has specific rates or fees listed under "Third Party Policies." Please carefully review the "Third Party Policies" in case you require their services. Please know that ShabiqKenya Agency will always adhere to individual reservation policies when applicable.

Any changes made to a reservation after successfully submitting the order online will be subject to the following charges:

  1. More than 7 days (168 hours) in advance – 10% of the original fee
  2. 3 – 7 days (72 – 167 hours) in advance – 50% of the reservation charges
  3. Within 2 days (48 hours) – no refunds will be available

(The days or hours indicated above are subject to Check-in or Departure times). The rebooked date must be within 2 months (60 days).

Please note that cancellation fees are calculated based on the date we receive your signed Cancellation Request Form and service check-in or travel departure date.

If a tour is scheduled to take effect within the next 5 days (120 hours), we will not change a traveler's departure date and will not offer a refund. All cancellations must be made directly with ShabiqKenya Agency, not with service or tour providers.

In most cases, reservations paid by mobile money transfer, cash deposit, or money order/traveler's check/cashier's check will be refunded via similar means or check. For refunds processed by wire transfer, any associated wire transfer fee will be deducted from the overall refund amount.

How to Cancel a Reservation

We will process your cancellation/refund request within three (3) to seven (7) business days. We will NOT acknowledge any verbal / over-the-phone request or voice mail as a method of cancellation. Verbally speaking with our customer service representatives without filling out a request form will not guarantee that your cancellation has been processed or acknowledged. We will also NOT accept email cancellations unless they have a complete, signed, and attached Cancellation Request Form.

Cancellation must be made by filling out and signing the ShabiqKenya Agency Cancellation Request Form. Please explain why you are requesting a cancellation.

Customers may print out the ShabiqKenya Agency Cancellation Request Form and send it to ShabiqKenya Agency by mail. You can also make a call to us to inform us on the cancellation. Customers may also email a scanned/digital Cancellation Request Form with your electronic signature, if possible.

Travel Amendment Fees

The following constitute as an amendment to a tour:

  • Changing departure date
  • Changing pick up time or location
  • Changing tour
  • Changing guest name
  • Changing itinerary
  • Removing / Replacing a guest
  • Adding / Replacing a guest
  • The $30.00 amendment fee is a minimum tour change fee. If you request multiple changes and/or request the adjustments at the last minute, additional fees may apply (in addition to the $30.00 amendment fee). Paying the $30.00 amendment fee does not guarantee a change can or will be made.

If last minute (less than 7 days) date changes are made 45% fee will be charged to take the revised date (excluding booking fee/credit card fees).

If ShabiqKenya Agency is forced to cancel a booked reservation or tour, any prior service payments will be fully refunded (other than third party booking fees). This is relevant to gift voucher bookings as well.

Gift vouchers will be extended from their written due to date on discretion, and only if requested prior to expiry date.

ShabiqKenya Agency operates in all weather, though reserves the right to alter or amend an itinerary if circumstances require.

Reservation Changes

If you make changes to your reservation that affect departure area or city, or make changes to your departure date or destination, it will be treated as a cancellation and the relevant cancellation charges will apply. Traveler substitutions are considered reservation cancellations and are subject to the above cancellation charges.

Confirmation information will be available approximately 2 days before your check-in time. Consult our reservations staff for details.

All traveler requests, including Gift vouchers, preferred air schedules, and special accommodations, are subject to availability and are not guaranteed, and charges may apply. If ShabiqKenya Agency cancels any optional extension which you have purchased, you will receive a refund of the amount you paid for the extension. However, if you subsequently decide to cancel the base (main) portion of your trip, cancellation charges will apply.

Single Travelers

Most hotels offer a limited number of single rooms, subject to availability and hotel space. Single Supplement costs will only apply up to three (3) room's maximum per Safari. Any additional single room in a group may require you to pay pay full double room rate.

Travel Insurance

ShabiqKenya Agency Passenger Protection Plan (or any travel insurance), which also provides protection against lost or damaged luggage, is highly recommended. Check with your travel agent or ask a ShabiqKenya Agency representative.

Not Included in Quoted Tour Rates

Cost of obtaining passports, visas, travel insurance, excess baggage charges, items of a personal nature such as drinks, laundry, communication (calls, faxes, emails, etc.) international airport departure tax (to be paid in international currencies), deviations from the tour, and gratuities to safari directors, tour leaders, drivers, rangers and trackers.
